Every Estate Ran Its Own Way. One CRM Finally Ran Them All.

Goodwell Property Management Limited manages residential and commercial estates across multiple sites, each with its own residents, owners, tenants, and stream of day-to-day complaints. Vertekx customized SuiteCRM into a single bilingual system that runs every estate the same way, while still giving head office a clear view across all of them.

The Challenge

The same form, moving a different way at every estate

GPML's complaint and enquiry process already existed on paper, a standard company form, but it lived differently at every estate. Nothing enforced who a case went to, how far it escalated, or when it had to be resolved. Residents reached out by WhatsApp, email, phone, or in person, and each channel led to its own disconnected record.

Staff worked both from head office and on the ground, in a Chinese-first environment, and needed the same tools and language at a desk or in a building lobby. Head office, meanwhile, needed to see case load across every estate at once, without losing control of exactly what each level of staff was allowed to see.

No consistent system across estatesNothing tracked residents, owners, tenants, and their properties the same way from one estate to the next.
A form with no workflowThe paper complaint form had no enforced escalation or follow-up, so it depended on individual staff, not the process.
Channels with no shared recordWhatsApp, email, phone, and walk-in each led to a separate, disconnected record with no shared history.
Full functionality, on a phoneOn-site staff needed the whole job from a phone, in Chinese, not a scaled-down view of the desktop system.
Rolled-up visibility, controlled accessHead office needed to see across every estate without any role seeing more than it should.
The Solution · One Structure

Every estate, modeled the same way down to the unit

The full estate structure was built directly into SuiteCRM, with residents, owner/tenant companies, leasing units, management-fee transactions, and documents all tied to the correct property and unit.

PropertyEach residential or commercial estate

BlockTowers and wings within the estate
FloorLevels within each block

Four Channels, One Pipeline

However a resident reaches out, it becomes the same case

WhatsAppEach estate gets its own hotline number; inbound messages auto-link to the right resident by phone, with a warning before the free 24-hour window closes.
Email-to-CaseEach estate's support inbox routes straight into cases assigned to that estate's team.
PhoneCalls are logged against the case like any other channel, keeping the full history in one place.
Walk-inIn-person requests are logged directly into the same Customer Case workflow at the site.
All feed the same Customer Case workflow
The Escalation Ladder

A case takes the path its type demands, no exceptions

The paper form became a true Customer Case workflow. Every step notifies whoever must act next, and cases can be held pending against a deadline so nothing quietly stalls. The route shifts by case type.

LEVEL 1Site OfficerLogs and works the case on the ground
LEVEL 2Site-in-ChargeSigns off simple requests to close
LEVEL 3Regional-in-ChargeSecond approval on formal complaints
HEAD OFFICEPR / GMOwn path for head-office cases; visibility across all
Request or complimentCloses out once the Site-in-Charge signs off. One approval, done.
Formal complaintRequires both Site-in-Charge and Regional-in-Charge approval before it can close.
Head-office caseFollows its own separate path, tied to head office rather than a single site.
Bilingual, Everywhere

The full job from a phone, in the language staff already work in

A bilingual mobile app mirrors the full web workflow: on-site staff search residents, log and respond to cases, and check their dashboard from a phone, not a scaled-down view. Access is layered two ways, group-based security scopes which records a user sees by estate, while role-based permissions control what they can do, down to the module, report, and eform.

Search residents anywhereThe same resident and unit search as the web CRM, from a phone in the field.
Log and respond to casesCreate, note, reassign, and resolve cases on the same workflow as the desktop.
Role-scoped dashboardEach staff member's dashboard, scoped to their level, in their working language.
The Results

Scattered estates, now one workflow head office can see across

Residents, owners, tenants, and every complaint or request tied to them now live in one system, not scattered estate-specific records
A case follows the same enforced path from intake to close, no matter which estate it came from or which channel it arrived through
Site officers, site-in-charges, regional-in-charges, and the GM each see a dashboard scoped to exactly their level on the same underlying data
Head office gets visibility across every property without anyone seeing more than their role allows
On-site staff can do the full job, not a reduced version, from a phone, in the language they already work in
